Shift ideas for other holiday events
- Toy drive: collection points, sorting by age, gift wrapping and distribution-day helpers.
- Community meal: cooks, servers, a drinks table, dishwashing and cleanup.
- Gift-wrapping fundraiser: wrapping-table shifts, a cashier and a supply run for tape and paper.
- Caroling or visits: drivers, a song leader and someone to bring hot drinks.
Before the day
- For a public venue, put the address, parking and where to check in in the description. For a private home, share the address only with the volunteers.
- Keep phone numbers off a sheet where names are visible: everyone with the link can read the notes. To collect them, switch off "Show names to everyone" first, and only you will see names and notes.
- Close sign-ups the evening before and print the list for the check-in table.
Tips that make it go smoothly
- Post the shifts early: calendars fill up fast in December.
- Two-hour shifts are the easiest to fill; volunteers who can stay longer can take two.
- Use the slot note to say what each shift involves: lifting, driving or standing for long periods.
- Check the venue's age rules and put them in the description. Many food banks ask younger volunteers to come with an adult.
- Share the link again a few days before with the shifts that still need people, and thank everyone afterwards.
How it works
- Open the template and adjust the slots, dates and numbers.
- Create the sheet and save your private organizer link.
- Share the public link. People tap a slot and type their name; no account needed.
Questions
Can two shifts run at the same time?
Yes. Add as many shifts at the same time as you need, for example sorting and packing, each with its own number of helpers.
Can volunteers sign up for more than one shift?
Yes. This template lets each volunteer take several shifts.
Can I change the date?
Yes. The template starts on the next Saturday; change the date of every shift at once before you share the sheet.
