How much food to plan
- Appetizers: about 4–6 pieces per person before a meal, and 10–15 if the appetizers are the meal.
- Main dishes: one for every 8–10 guests when there are plenty of sides.
- Desserts: one for every 6–8 guests. Cookies go by the dozen: count 2–3 per person.
- Drinks: about one drink per person for each hour, and more water than you think.
Office holiday potluck tips
- Keep it easy to join: drinks, plates and ice spots let colleagues who do not cook take part.
- Use the note for labels such as vegetarian, vegan, halal or gluten-free, so everyone can find something to eat.
- Book the room and some fridge space: cold dishes need somewhere to wait until the party starts.
- Put the time and place in the description, and share the link in the team chat about two weeks before.
Keep the food safe
- Keep hot dishes at 140°F (60°C) or above and cold dishes at 40°F (4°C) or below.
- Do not leave food out for more than 2 hours, or 1 hour when it is above 90°F (32°C), which matters for summer Christmases south of the equator.
- Refrigerate leftovers within 2 hours and eat them within 3–4 days.
Tips that make it go smoothly
- Holiday parties tend to end up with plenty of cookies and too little savory food. Aim for about half appetizers and sides, a quarter mains and a quarter desserts.
- Slow cookers keep dishes hot for hours. Ask people bringing hot food to bring theirs, and have an extension cord or power strip ready.
- Ask for allergens in the note and have everyone label their dish. At an office party you rarely know everyone's allergies.
- Add jobs as well as food: setup, cleanup, music and ice. People who cannot cook are often glad to take them.
- Close sign-ups a few days before and print the list for the buffet table.

Questions
Can I use it for an office holiday party?
Yes. Rename it "Holiday party" and adjust the list. Keep names visible so colleagues can coordinate, or hide them if you prefer.
Can people sign up for more than one dish?
Yes. This template lets each person take more than one spot, for example a dessert and a drink.
Can we draw names for gifts too?
Yes. Use the free Secret Santa generator on this site: share one link, everyone taps their own name and sees who they are buying for.
