Tips that make it go smoothly
- Two-hour shifts are easier to fill than long ones; people can always sign up for two.
- Always include setup and cleanup. They need the most people and are the hardest to fill on the day.
- Use the slot note to say exactly what each shift does, so volunteers pick something they are comfortable with.
- Overlap shifts by 10–15 minutes so there is time for a handover.
- Share the link again a week before with the shifts that still need people.
How it works
- Open the template and adjust the slots, dates and numbers.
- Create the sheet and save your private organizer link.
- Share the public link. People tap a slot and type their name; no account needed.
Questions
Can I say how many volunteers each shift needs?
Yes. Each shift has its own number, and the sheet shows how many spots are left.
Can volunteers cancel themselves?
Yes. Each volunteer gets a private link on their device to change or cancel their own sign-up, unless you lock the sheet.
