Office Secret Santa: how to run it at work
A workplace gift exchange should be the easy, friendly part of December, not one more thing to worry about. These choices keep it fair and fun for everyone, including the colleagues who would rather sit it out.
Make it opt-in
- Invite people instead of signing everyone up, and make it easy to say no without giving a reason.
- If your team celebrates different holidays, or none, call it a gift exchange or a holiday swap.
- Managers can join as equals, but nobody should feel they have to impress the boss.
Pick a fair budget
Choose an amount that is comfortable for the lowest-paid person taking part, and write it in the invitation. A modest amount, around the price of a paperback or a good coffee, keeps the focus on the thought.
- Say whether the budget is a limit or a guide ("around 10").
- Agree on the currency if the team spans countries.
- Homemade gifts and small experiences are welcome alternatives.
Keep gifts work-appropriate
- Safe choices: good coffee or tea, a desk plant, a nice notebook or pen, a puzzle or small game, a treat from a local shop.
- Skip anything personal (clothing, perfume, beauty products), jokes that could embarrass, and alcohol unless you know it is welcome.
- Wish lists help: each person can say what they like and what to avoid, from nut allergies to "no more mugs".
A simple timeline
- Four weeks before: announce the exchange, the budget and the date, and ask who wants to join.
- Three weeks before: draw names, so people have time to order online.
- On the day: exchange gifts during working hours so everyone can be there, with a video link for remote colleagues.
Remote and hybrid teams
- Set the date gifts should arrive, not the date to send them, and allow extra shipping time.
- Digital gifts, such as e-books, gift cards or a subscription, avoid shipping altogether.
- Keep home addresses out of the team chat. Ship to the office, or let each Santa ask the organizer privately.
- Open the gifts together on a video call. To find a time that suits every time zone, run a quick meeting poll.
The reveal
Some teams guess who their Secret Santa was, others never tell. Decide in advance, so nobody is put on the spot.
